What Is an AI Agent? (And Why Your Business Needs One, Not a Chatbot)

Everyone's selling chatbots. Almost nobody is building agents. The difference is the difference between a receptionist who answers questions and an employee who actually gets things done.

The word "chatbot" has done enormous damage to how businesses think about AI. When people hear chatbot, they think of the thing on your bank's website that can't answer anything and eventually transfers you to a human. They're right to be skeptical of that. That's not what we're talking about.

An AI agent is a fundamentally different thing. Let me give you the clearest distinction I know.

A chatbot responds. An AI agent acts.

What does an AI agent actually do?

Here's a real example. A lead comes in through your website at 11pm on a Sunday. A chatbot responds: "Thanks for your message. Someone will be in touch." An AI agent does this: it reads the inquiry, categorises it by service type and urgency, checks the CRM to see if this person or company has contacted you before, creates a new lead record with all relevant context, scores the lead based on your qualification criteria, drafts and sends a personalised response with relevant information based on what they asked, adds a follow-up task to the right salesperson's queue for Monday morning, and logs every action with a timestamp.

No human was involved. No information was lost. No lead was left cold. The salesperson walks in Monday morning to a qualified lead with full context, a sent response, and a clear next step.

That's an agent.

What can AI agents be used for?

Executive email management โ€” reading, categorising, drafting responses, routing, following up. Reporting โ€” pulling data from multiple systems, compiling reports, distributing them on schedule. Client onboarding โ€” sending documents, tracking completion, chasing outstanding items, escalating when overdue. Compliance โ€” monitoring for required actions, flagging risks, generating documentation. Finance โ€” tracking outstanding invoices, sending reminders, reconciling payments. The list is long.

The key principle: an agent doesn't just answer. It reads context, makes decisions within defined parameters, takes action, and reports back. It has a job description. It has defined authorities. It has escalation rules.

Why do AI agents matter for your business now?

The businesses building AI agents today are not replacing their staff. They're giving their staff leverage. One account manager with three AI agents working alongside them can manage what previously required a team of four. One executive with an AI agent handling their operational inbox can spend their day doing strategic work instead of triaging email.

This is the lever. Not the chatbot. The agent.
